AI for advisory firms and gestorías

Updated on 27 August 2026

In an advisory firm, the profitable AI is not the one that promises to file your tax forms: it's the one that takes the phone and the interruptions off your team so they can do the filing without being cut off three times. Safely automatable today: phone attention, appointments, documentation reminders and campaign notices. What is never delegated: fiscal judgement and everything the firm signs.

The real bottleneck: interruptions

Advisory work is concentration work, and the phone is its natural enemy: every 'has it arrived yet?' call cuts off someone who was filing taxes. A voice agent takes those calls (the status of a routine procedure, booking an appointment, what documents to bring) and only passes to the team what truly needs the team.

The second thief of hours: chasing documentation. Automatic reminders through the channels the client already uses turn that chase into a flow that runs itself, with the firm watching the list of who's missing.

What NOT to delegate to an AI (yet, and maybe ever)

The judgement: which deduction applies, which regime suits, how to answer an official notice. Automatic drafts help internally, but whatever leaves the firm is reviewed and signed by a person. An advisory firm sells trust; automating trust is the one saving that comes out expensive.

GDPR, in short

An advisory firm handles especially sensitive data, so any tool that listens to calls or reads documents must meet three things: data and recordings in Europe, a signed data-processing agreement, and your control over the recordings (turn them on, off, delete them). If a provider can't show you those three in writing, it's not for a firm.

And if the tool talks to your clients, it must identify itself as an assistant: Article 50 of the EU AI Act requires it since August 2026.

Clear questions

Can AI file forms or do the accounting on its own?

It can prepare drafts and move data between systems, but review and signature belong to the firm. Liability towards the client and the tax office doesn't automate.

What do I automate first in my firm?

The phone and the appointments: it's what interrupts, what gets missed and what an assistant solves from day one. Then, documentation reminders. Tax work stays internal, with review.

Doesn't my practice-management software already do this?

Practice software manages case files; the voice agent attends the people who call. They complement each other: one stores, the other answers.

For firms that want what already works

Sole Hand's agent answers your phone, identifies itself as an assistant and meets GDPR with data in Europe. It comes inside the community's member fee (€59/month plus VAT), with the rest of the tools other businesses like yours validate.
